Performing Verification Activities using the RiskView Mobile App

Accessing Verification Activities
  • Once you are logged in, you should find a list of any verification activities that have been assigned to you.
  • The verification activities are grouped in 2 tabs:
    • Recent – Shows a list of verification activities that are recently opened by the user.
    • All – Shows a list of verification activities that are either allocated to the user or are being performed by the user. The “All” tab supports filtering on Status of the verification activities.
  • You can also perform sorting in those 2 tabs, either by:
    • Progress
    • Due date
    • Verification activity name
  • The “All” tab shows all verification activities that are related to you, and they are grouped by their Statuses:
    • Pending – Verification activity has not been started yet.
    • In Progress – Verification activity is being performed.
    • Complete – All questions have been completed within the verification activity and is ready for submission.
  • This tab will only be available when internet connectivity is detected (i.e. Online Mode).
  • The “Recent” tab showing a list of verification activities that are recently opened by the user on this device.
  • This tab will be available in both Online and Offline Mode. The offline mode can be set by switching into Flight Mode or when there is no reception.
  • To perform the verification activity, you can either:
    • Tap on the item you are interested in from the list.
    • Tap on the menu option as indicated and select the “Open” option.
Performing Verification Activities
  • The verification activity wizard will be shown upon tapping on the item from the list.
  • The interface is similar to the previous iteration of the verification activity wizard, where the workflow goes from Introduction, Overview, Questions, Comment, Submit.
  • To proceed with the verification, you can either:
    • Use the orange arrows next to the header.
    • Swipe to left/right on the main body.
    • Click on the menu next to the header. Doing so will bring up the page selector, where you can perform the following:
      • See the progress of the verification.
      • Forward the verification.
      • See the summary of the verification and submit it.
      • Go back to the home screen.
  • User can navigate to any question by clicking on the number from the page selector.
  • The colour of the page number is defined based on the status of each page:
    • Grey with red indicator – Page is still invalid
    • Blue with red indicator – Currently selected page which is incomplete
    • Blue – Currently selected page which has been completed
    • Green – Page has been completed
  • The Overview page shows additional information about this verification activity, as well as bowties related to this activity.
  • To start with the verification, go to the first question, where you will find the specific question for your activity, and the available response for that question.
  • As shown in the screenshot, all required fields will be marked and the markers will be removed once they become valid (i.e. the appropriate response has been picked, required fields have been filled, etc.).
  • By default, the user is required to select a response and complete the Findings and Observations section to complete the question.
  • The header shows the current page, as well as its status.
  • You can click on “View Scoping Details” to show additional information about the question.
  • To complete the first question, pick an appropriate response from the list, and then fill in any required field. Create an action if it is required to do so.
  • The red indicator on the header will be removed instantly when the page is valid (i.e. all requirements are met).
  • To change your selected option, simply tap on the selected option and the full list will be expanded again.
  • You can check your progression at any time within the application, by simply clicking on the page selector menu.
  • As shown in the screenshot, we still have 14 more steps to go for this verification.
  • Tap on the “Add Action” section to create an action.
  • All required fields will be marked accordingly and all required fields must be completed for an action, otherwise the page will remain as invalid.
  • Tap on the “Add Attachment” section to upload supporting files for your response.
  • You can either:
    • Launch the Camera app from your device and upload the photo taken.
    • Upload existing photo from the Gallery app from your device.
    • Upload existing file from the Files Explorer app from your device.
  • To access an existing attachment, tap on the file and this will initiate the download process.
  • The file size limit is 10MB.
  • At any time while performing the verification, you can forward the verification to another user.
  • There are two ways to forward a verification:
    • From within the verification activity, click on the page selector and select the “Forward
    • From the context menu in the list of verification activities.
  • Pick the appropriate person to forward the verification to and users are required to fill in the comment section in the forward page.
  • The list will only show users that have auditing permissions in the register being audited.
  • The Forward functionality will only be available in online mode.
  • Navigate to the “Submit” page when all questions are completed and you are ready to submit the verification activity.
  • The Submit page will show the overall summary of the verification activity. You can quickly view the response of each question by expanding the accordion.

  • Once you have reviewed the responses from all questions, navigate to the bottom of the Submit page and tap on the Submit button to close out this verification activity.
  • Submission is also available when the mobile app is in offline mode.
  • When the mobile app detects that it is in offline mode, the Submission process will be queued up in the background. The verification activity will be closed upon clicking on the “Submit” button.
  • From the “Recent” tab, you can choose to:
    • Cancel Submission of the verification activity.
    • View the verification activity in read-only mode.
  • The Submission task will be processed by the server once an active internet connectivity has been detected on the device.
Troubleshooting
  • If you can’t remember your username/password details, tap on “Can’t access your account?
    • If you can’t remember your username, enter the email address associated with your RiskView account. You would then receive an automatic email containing your username.
    • If you can’t remember your password, enter the username (NB: this is not your email address, unless it is as well your username), would then receive an automatic email containing a reset code.
  • Enter then the reset code, the new password and confirm it.
  • If the site address is invalid, double check comparing with the address working on the desktop/provided to you.
  • If it still does not work, liaise with your internal System Administrator.
