Reminder Email for Verification Activities
Oftentimes users will get overwhelmed with some other tasks and might forget that they have verification activities delegated to them which are going to due soon.
The system sends out reminder notification to the related users and system administrators can control the following:
- When to send out reminder before the item is overdue
- How often to send out reminder when the item is overdue
By default, the system will send out reminder notification 2 days prior to the item’s due date, e.g. if a verification activity is due on 30/08/2017, a reminder notification will be sent out on 28/08/2017. To change that value, navigate to the Configuration Editor -> Register Policies -> Notifications -> Over Due Action Honey Moon Days. Negative value means that notification will be sent out prior to the due date.
After the honey moon date and if the item is still not closed or completed, the system will then send out reminder notification to the user and the recurrence period is determined by the value set in this option, “Over Due Action Reminder Days”. Using the previous example, the verification activity is due on 30/08/2017, the first reminder will be sent out on the 28/08/2017, and then another reminder will be sent out on the 30/08/2017. If the item is still open, another reminder notification will be sent out on the 02/09/2017 and this will continue every 2 days (depending on the value set in the register policy), until the item is closed.
Alternatively, users can opt to send out reminder email from the Verification Activity Timeline dashlet. To do that, navigate to the home page and locate the dashlet, then click on the dashlet to bring up the context menu. Upon clicking on the “Email…” option, it will bring up the email client, and the new message will be pre-populated with the verifier’s email address.
